SYSTEM ANALYSIS OF THE EXISTING SYSTEM
3.0 INTRODUCTION
System analysis is the process of collecting and analysing facts of an existing system, when a new system is to be developed, system analysis and design play important roles. Analysis here, involved a detailed study of the current system (if any), which may lead to the specifications and design steps of new a system. The main prpose of this chapter is to make an in depth analysis of the current system
3.1. METHOD OF THE SYSTEM ANALYSIS
The method of the system analysis use in this project descriptive method of data analysis since the research works found under the qualitative research. In which the detail study of the existing system is being analysis.
3.2 ANALYSIS OF THE INPUT
The input is the necessary information needed from each fire disaster that had occurred. If a disaster occur in any part of Sokoto state. The report manager from the fire service department must first confirm if the disaster is a fire disaster. If it is a fire disaster the report manager will then collect input from the disaster but if its not a fire disaster the report manager will not have to collect any report because the type of disaster does not concern the management.
If the disaster that occur is a fire disaster then the report manager will collect the following information:
➢ The day of disaster: this type of input describes the day the disaster occurred
➢ The cause of the disaster: this type of input describes the cause of the disaster, some disaster might be due to carelessness, and some might be due power or light explosion, some might be due to a bad electrical gadget used within the homes affected
➢ The damage caused by the disaster: this type of input describes the type of damage that were caused by the fire disasters, some damage might be properties, loss of money etc.
➢ The properties affected by the disaster: this input describes the properties affected by the fire disasters.
➢ The amount of properties affected by the disaster: this input describes the amount of properties affected by the fire disasters.
➢ The lives affected by the disaster: this input describes the amount of lives affected by the fire disasters.
➢ How the disaster resolved was: this input describes the amount of properties affected by the fire disasters.
➢ At what range of time was the disaster resolved
This mentioned information will be used by the fire service department to determine how to control subsequent disasters. It also enable them to monitor the state and try every possible means that subsequent disaster does not affect lives, properties and much damages are not caused. After all this information have collected and stored in the record with paper and pen. The record manager will sign and stamp the file.
3.3 ANALSYSIS OF THE SYSTEM PROCEDURE
The current system of managing disaster report in the fire service department of Sokoto state fire service is conducted manually using paper and pen. If a disaster occurred in any part of the Sokoto state metropolis, the report manager would gather information about the type of disaster that had occurred if it was a fire disaster the report manager would use his paper and pen to collect all the necessary information about the type of disaster, the time of disaster, the cause of the disaster, the number of people affected by the disaster, how they were affected and how the disaster was later resolved. All this information collected with paper and pen will be stored in files and kept in their record rooms and at times there would be lost of files, loss of disaster records or misplacement of records. If a record is wanted the record manager would have to open all the cupboards to check for the records with either the name of the record or the date of the disaster and record being taken.
3.4. ANALYSIS OF THE OUTPUT
Outputs are information that is produced in response to the processed data or inputs. The output to the process are:
The written/ documented of everything about the disaster that occurred such kind of written and documented information about the disaster can be reviewed with the following information contained within them: The place of disaster, The time of disaster, The day of disaster, The cause of the disaster, The damage caused by the disaster, The properties affected by the disaster, The amount of properties affected by the disaster, The lives affected by the disaster, The number of lives affected by the disaster, How the disaster resolved was, At what range of time was the disaster resolved. Etc.
3.5 FILES MAINATAINED
This is the next step after system analysis is and the first step toward producing software. The files maintained in the existing system are: Records of files of different types of reports on fire disasters.
This types of files or records contains all the information about the time of disaster, the place of disaster, the day of disaster, the cause of the disaster, the damage caused by the disaster, the properties affected by the disaster, the amount of properties affected by the disaster, the lives affected by the disaster, the number of lives affected by the disaster, How the disaster resolved was and finally At what range of time was the disaster resolved.
3.6 HUMAN ELEMENTS
Human elements are people that participate in the existing process of disaster report management in the fire service department of Sokoto state. The human elements are
The disaster report manager in fire service department : This is the personnel in charge of keeping and storing of report
The disaster reporter : This is the personnel that writes the report about the disasters
The fire service agents : This are personnel that provide solution to fire disasters by saving life and property during fire disasters.
